DF and NG Policy Changes

DF and NG Policy Changes The DF and NG Faculty Senate policy and corresponding ACUE procedures have been changed effective SP12.

Deferred Grades (DF):

For Undergraduate students, the DF grade shall not extend beyond ten weeks following the end date of the course per Faculty Senate policy 48-40 and ACUE procedure G-3.  Each deferred grade assigned will be given a deadline based upon the specific course so all students are given the same amount of time for the deferral.  

In addition to changing the time amount for the deferral, we have added notifications to the instructor(s) of record and the student.  A warning email is sent to both instructor and student two weeks before the DF deadline.  If the student no longer has an active access account, we will produce a letter to be mailed.  If there are any issues with the instructors email account, we will send an email to the campus registrar or college contact so you can notify the instructor.  

If the deferred grade is not changed by the specific deadline, we will convert the DF to the F.  A procedure runs daily to determine if there are any DFs with expired deadlines, so additional time is not give based upon when a procedure is scheduled.  An email notification is sent to the instructor and student alerting them of the grade change.  If the student no longer has an active access account, we will produce a letter to be mailed.  If there are any issues with the instructors email account, we will send an email to the campus registrar or college contact so you can notify the instructor.  

No Grades (NG):

For Undergraduate students, the revised NG policy and procedure states that NG grades are to be reconciled within five weeks following the posting of the NG.  Similar to the DF notifications, we will send  a warning email to both the instructor and the student two weeks before the five week deadline.  If the student no longer has an active access account, we will produce a letter to be mailed.  If there are any issues with the instructors email account, we will send an email to the campus registrar or college contact so you can notify the instructor.  

If the NG is not changed by the 5 week deadline, we will convert the NG to the F.  An email notification is sent to the instructor and student alerting them of the grade change.  If the student no longer has an active access account, we will produce a letter to be mailed.  If there are any issues with the instructors email account, we will send an email to the campus registrar or college contact so you can notify the instructor.  

Grad Students:

For Graduate students, the Grad School has approved a 25-week deadline for DF grades (following the course end date).  All other information will be the same (when warnings and grade change notifications will be sent).

The Grad School also gives a 25 week deadline for the NGs, once the NG has been posted.
