Funding is available to help cover travel, lodging, registration, and hosting costs associated with undergraduate student activities.

Dates for the 2024-2025 Academic Year Timeline for Submitting Proposals

  • For events that occur between September 1 - December 31, 2024, proposals are due on or before September 13, 2024.
  • For events that occur between January 1 - June 30, 2025, proposals are due on or before January 17, 2025.
  • For events that occur between July 1 - August 31, 2025, proposals are due on or before April 11, 2025.

Eligibility and Criteria

  • Funding is limited to clubs/organizations and teams within the College of Agricultural Sciences.
  • Funding is limited to undergraduate students enrolled in the College of Agricultural Sciences, in good academic standing (minimum cumulative GPA of 2.0).
  • Students enrolled in a different college can be considered for funding if they are enrolled in a CAS minor that relates to the club/organization or team.
  • Each club/organization or team may submit up to two funding requests per academic year.
  • Requests for faculty/adviser travel support will be denied.

Team funding is reserved to support judging teams and other competitive intercollegiate teams based in the College of Agricultural Sciences.

Note for Team Funding: Funds will not be allocated for an activity that depends on a team winning a prior event. In the situation where a team does need additional funding to continue in competition, a second proposal for supplementary funding may be made to the Office for Undergraduate Education.

Club/Organization funding supports activities that foster the professional and educational development of undergraduate students involved in clubs and organizations in the College of Agricultural Sciences.

It is strongly recommended that the club/organization adviser accompany the group when they travel and participate in student activities.

A committee comprised of three faculty members and a student representative will review all proposals submitted. Requests for funds will be evaluated and ranked based on the quality of the request, including the justification for participation and potential for professional development.

All requests must be in accordance with the current University Policy for domestic student travel.

Procedure to Request Funds

  • Student clubs/organizations and teams who wish to be considered for funding must submit the Student Activities Funding Request Proposal Form by 5:00 p.m. on the deadline dates listed above.
  • The proposal form must be typed. Handwritten forms will not be accepted.
  • A travel itinerary highlighting dates and times of travel and activities must be submitted. (Except for travel time and participation at events, any additional days for trip will not be funded.)
  • Only complete proposals, including accurate calculation of expenses and funding requests will be considered. Any dollar amount that is a pre-filled field on the form must be used.*
  • When completing the budget information, be realistic in estimating travel expenses.
  • Supporting documentation to justify the cost of anticipated airfare or bus charter must be provided. For example: a CONCUR search of flights showing comparable rates, or a search of available bus rental rates.
  • *Funding for meals is limited to $20 per day, per person.
  • *Funding for lodging is limited to $25 per day, per person.
  • Items not directly connected to or required for participation will not be covered unless included in registration costs.

Failure to follow the above procedures may result in the proposal not being accepted or funded.
