Users leaving the College of Ag Sciences are required to ensure that all work-related data has been appropriately transferred/shared with necessary colleagues and to notify Ag IT for account closure.

We want to make the transition (to another job or retirement) as seamless as possible for all involved. Ag IT Consultants are available to assist users in making sure all work-related data is appropriately transferred and secured and also to assist users in collecting data that will need to be taken with them to their next job. It is very important that users leaving the College are aware of their IT/computer responsibilities.

Penn State's AD96 Information Assurance and IT Security policy requires "Safeguarding passwords and/or other sensitive access control information related to their own accounts or network access. Such information must not be transmitted to, shared with, or divulged to others." As a result of this policy, any and all user data must be transferred to the necessary parties prior to the user leaving.

If a user leaves employment with the College and has not transferred necessary data to others in their unit/office, the data will not be accessible without involvement by the Penn State Security Office. Additionally, if the user fails to take personal data with them, it cannot be retrieved after employment is terminated, without the involvement of the Penn State Security Office.  Students, faculty, or staff that leave Penn State will lose access to all work and files saved in applications like Teams, OneNote, OneDrive, SharePoint and all other Office 365 apps, other than Outlook on the web, 14 days after their departure. You will continue to have access to Outlook on the web and your inbox until your Penn State Access Account expires.

The following tasks should be completed by the user prior to their last day of employment:

  • Transfer work-related data to a known, shared space for the appropriate person(s) to access.
  • Transfer work-related e-mail messages, e-mail contacts, e-mail distribution lists (i.e. exported, forwarded, printed) to the appropriate person(s).
  • Transfer work-related calendars (i.e. exported, printed) to the appropriate person(s).
