There are a several options for handling your unanswered calls including forwarding to voicemail, fowarding to another person, or simultaneous ring on another number. MS Teams also has an option for having a different voicemail message when you are out of the office.

Managing Voicemail

  1. Click three dots to the left of your photo or initials in the top right corner of Teams app. 
  2. Click Settings.
  3. Click the Calls option. 
  4. Scroll down to the Manage voicemail section. 
  5. Click the Record a Greeting button or type a custom greeting message (down a little further on the page).
  6. Select your preference for Choose a language for your default greeting.
  7. Select your preference for Choose what happens when the call is redirected to voicemail.
  8. Click the Activity icon to return to main Teams windows. 

Forwarding your calls (to voicemail or another number) 

  1. From the left sidebar, click the Calls icon. 
  2. Below the number pad, click the drop-down arrow beside the Forwarding button (NOTE: Don’t forward is selected by default). 
  3. Click the More Settings option. 
  4. Click the slider at the top of the screen to toggle on Forward all calls. 
  5. Click the Choose how all your calls will be forwarded drop-down menu and select either voicemail or enter another number. (NOTE: Teams-to-teams Only users (no PSU phone number) only have the option to forward calls to Voicemail)
  6. If you selected Forward to a new number or contact, in the 2nd box enter a number or person's name that should receive your calls.
  7. Click the slider to toggle call forwarding back off when ready. 
  8. Click the Activity icon to return to main Teams windows.

Simultaneously Ring Multiple Lines or also Ring a new number

NOTE: Teams-to-teams Only users (no PSU phone number) will not have this option.

  1. From the left sidebar, click the Calls icon. 
  2. Below the number pad, click the drop-down arrow beside the Forwarding button (NOTE: Don’t forward is selected by default). 
  3. Click the More Settings option. 
  4. Verify that the call forwarding slide is toggled off. 
  5. Click the When you receive a call – select this drop-down menu to set up Also ring a new number or contact (also known as simultaneous ringing to another phone). 
  6. Add their number or person's name that the also receive the call.
  7. Click the Activity icon to return to main Teams windows. 

Redirect Unanswered Calls 

  1. From the left sidebar, click the Calls icon. 
  2. Below the number pad, click the drop-down arrow beside the Forwarding button (NOTE: Don’t forward is selected by default). 
  3. Click the More Settings option. 
  4. Verify that the call forwarding slide is toggled off. 
  5. When you can’t answer a call – select this drop-down menu to redirect calls to voicemail or to another phone and to set the amount of time before calls are redirected. (NOTE: Teams-to-teams Only users (no PSU phone number) can only redirect calls to voicemail)
  6. Click the Activity icon to return to main Teams windows. 

Out of Office Voicemail   

You can set up a different voicemail message to be used when you are out of the office. This message can be triggered manually, when you have an Outlook Auto-Reply set up or when you have an Out of Office event on your calendar.  

  1. From the left sidebar, click the Calls icon. 
  2. Below the number pad, click the drop-down arrow beside the Forwarding button (NOTE: Don’t forward is selected by default). 
  3. Click the More Settings option. 
  4. Scroll down to the Manage Out-of-Office Voicemail section. 
  5. Select when the greeting should play. 
  6. Type a custom greeting message. 
  7. Click the Activity icon to return to main Teams windows.
