Search For and Hire the Successful Candidate: Part-time

How to begin the search process for a part-time job that's been posted and initiate the hire.

Identify Top Candidates. Once the hiring manager has identified a list of candidates to be interviewed, he/she can begin scheduling and conducting interviews (if necessary). After the interviews have been concluded and the final candidate has been identified, it is the responsibility of the hiring manager to perform reference checks. Federal Work Study.  The Penn State Job website will provide a link to a separate webpage for federal work study jobs (https://workstudy.psu.jobs) To apply, students must log in using their access ID and password to validate eligibility. Only students with a valid federal work study award will have access to apply for these positions.

Extend a Verbal Offer. Prior to extending a verbal offer, the hiring manager should first refer to Policy HR41, Setting Hourly Wage Payroll Rates for Part-time and Casual Employees.  If assistance is needed in determining an appropriate hourly rate, notify the appropriate HR Consultant. At this time, the hiring manager will gather any additional approvals required by his/her department.

The hiring manager makes a verbal offer, indicating to the candidate that the offer is contingent upon the successful completion of the required background check(s). Please note that new employees may not begin working until the background check is complete. The following language should accompany the verbal offer:

"This offer is contingent upon successful completion of a background check. You will receive an e-mail from Penn State Human Resources with additional information regarding the background check process."

Confirm Hiring Details. It is recommended that the hiring manager send an email to the selected candidate confirming his/her start date, the anticipated number of hours the individual will work, and any other position-specific details.

Complete Initiate Hire Form. The hiring manager or designee will then complete the EA Initiate Hire (Part-Time) form, obtain necessary unit approvals, and e-mail the form to . Shared Services will initiate the background check, schedule onboarding, and complete and process any associated HR forms.  When completing the form, list your unit’s Wage Payroll Processor’s name and access ID in the “Submitter” section of the form. 

*Abide by Policy BS20 if the position requires the selected candidate to drive.
