Winter 2016 Holidays

University guidelines for time off from Thanksgiving through New Year's Day

Full-time individuals who DO NOT use ESSIC (and follow the University calendar)  

Nov. 24, 2016
Thanksgiving is an official holiday recognized by Penn State. Employees are given paid time off.

Friday after Thanksgiving (Nov. 25, 2016)
This has been designated as a Campus Closure Day. The University is closed, so you do not need to take vacation time to take this day off from work this year (or in future years, unless changed by the President).

Dec. 23, 2016 - Jan. 2, 2017
The University will close at the end of normal business operations on Thursday, December 22, 2016, and reopen Tuesday, January 3, 2017, so you do not need to take vacation time to take these days off from work.

Full-time 100% FTE PSU staff who DO use ESSIC (and follow the University calendar)

Friday after Thanksgiving (Nov. 25, 2016)
This has been designated as a permanent Campus Closure Day. The University is closed, so you do not need to take vacation time to take this day off from work this year (or in future years, unless changed by the President). Employees who do not work on Fridays will receive 8 hours of time off to be scheduled at another time.

To record this in the ESSIC Attendance System:
1) Date: Enter the appropriate date (11/24/2016)
2) Hours (per day): Enter your normal work hours
3) Description:  Under == BASIC ==, select “Holiday”
4) Record: Click “Record This Entry"
5) Date: Enter the appropriate date (11/25/2016)
6) Hours (per day): Enter your normal work hours
7) Description: Under == BASIC ==, select "Official Campus closure (e.g. Weather Day)"
8) Record: Click "Record This Entry," and complete the rest of the ESSIC steps as you normally would. 

Dec. 23, 2016
This day is a holiday compensatory day since Christmas Day falls during the weekend. The University is closed, so you do not need to take vacation time to take this day off from work.

To record in the ESSIC Attendance System, an additional step is required:
1)
Date: Enter the appropriate date (12/23/2016)
2)
Hours (per day): Enter your normal work hours
3) Description:
 Under == COMPENSATORY TIME ==, select “Holiday Compensatory Time”
4) Record:
Click “Record This Entry”
5) Date: Enter the appropriate date range (12/26/2016-12/30/2016)
6) Hours (per day):
Enter your normal work hours
7) Description: Under ==BASIC==, select "Holiday"
8) Record: Click "Record This Entry"
9) Paid Time Off Earned for December 2016: After you have completed the monthly attendance record, click "Submit Monthly Attendance Record for Approval." In the Paid Time Off Earned for December 2016, enter 8 hours in the "Holiday compensatory hours earned" box along with your normal vacation and sick time accruals. Click "Submit."


Please note that the information provided above is for 100% FTE staff employees. If you work a reduced schedule per policy HR88, please refer to the policy for guidance on accruing and recording holiday time at your reduced FTE. For example, an employee who works 30 hours per week (75% FTE) will receive 6 hours of holiday time per holiday.

Wage/Payroll staff who are eligible for Earned Time

  • Employee shall receive pay for holidays/campus closure days that fall on a day employee is regularly scheduled to work. For example: If an employee generally works 5 hours on a Thursday and a holiday falls on a Thursday, that employee shall receive 5 hours of pay for that holiday.
  • University Park Earned Time participants will follow the University Holiday Schedule (see below)
  • Extension Earned Time participants who follow the University Holiday Schedule will continue to do so (see below)
  • Extension Earned Time participants who follow a County Holiday Schedule should refer to the holiday schedule specific to their county.
  • If any Earned Time Participant actually works on a holiday (using the UP or County Holiday schedule applicable to them), they are to be paid at a rate of time-and-a-half for those hours.

*Please note that holiday time/campus closure time is not deducted from accumulated Earned Time balance.

2016 UP Holiday Schedule:
Thanksgiving (Nov. 24, 2016)
Thanksgiving is an official holiday recognized by Penn State. Earned Time participants are given paid time off, provided that this day falls on a day the employee would have regularly been scheduled to work.

Friday after Thanksgiving (Nov. 25, 2016)
This is a Campus Closure Day and can be recorded as instructed below. Earned Time participants are given paid time off, provided that this day falls on a day the employee would have regularly been scheduled to work.

Dec. 23, 2016
While the University is closed on this day, Earned Time participants are not eligible to receive holiday/campus closure compensatory time. They may, however, use their accrued earned time if they choose to do so.

Dec. 26, 2016 - Jan. 2, 2017
The day after Christmas through Jan. 2 are normal holidays and should be recorded as instructed below, provided that any of these days fall on a day the employee would have regularly been scheduled to work.

Wage/Payroll staff who are NOT eligible for Earned Time
These individuals do not receive paid holiday time off and do not receive time-and-a-half when they work on a scheduled holiday.
