Adjunct Appointment

Adjunct Faculty Appointment Guidelines. College of Ag Sciences.

In accordance with HR07, University Appointments without Remuneration, adjunct appointments are used within the College to recognize the qualifications of certain individuals who on occasion perform educational services for the host department without remuneration. 

Examples of such service may include but would not be limited to: 

  • teaching a portion of a class; invited guest lecturer in classes and/or seminars
  • interact with graduate students and committees in accordance with the Graduate School policy (http://www.graduateschool.psu.edu/faculty-and-staff/faculty/criteria/)
  • collaboration on research projects, grant-writing activities, research projects and publications. 

The adjunct appointment permits individuals to use the requested department in their title.  Therefore, you need to make sure that the credentials of that person meet your standards (not standards for a tenured appointment, but standards for someone you are granting the right to carry your department name). 

Academic credentials of the person should meet the basic standards for faculty of similar rank in the requested department and consistent with The Pennsylvania State University Human Resource Policy HR21:  Definition of Academic Ranks.  Basic standards will vary from unit to unit and it is the department’s responsibility to create guidelines for this.

Process for requesting an adjunct appointment

  • A faculty member or the unit leader may approach an individual regarding an adjunct appointment if there is expectation for service to the department.  Or the individual interested in an adjunct appointment may make a request in writing (email acceptable) to the academic unit leader (AUL) indicating his/her current title (exact), and the justification for the appointment including expected contributions to departmental activities.
  • The AUL will provide this information to the unit P&T committee for their review and approval and/or faculty in the unit for their review and approval. 
  • Upon positive recommendation from the P&T committee and/or faculty, the AUL will forward to the Dean a cover letter outlining his or her support for the request, proposed rank, and examples of service the individual will be expected to provide to the unit and why this individual is qualified to provide those services, supporting letters indicating approval from the unit P&T committee and/or the faculty, along with a vitae on the individual.
  • Upon approval from the dean, the Human Resources Office will provide the necessary paperwork for the individual to complete in order to process the appointment through the IBIS system. 

The initial adjunct appointment will be made through the current fiscal year, following which the appointment will be renewed on a fiscal year basis at the request of the AUL.  

Every third year, as required by HR-7, University Appointments without Remuneration, requests for extensions of appointments must be re-evaluated for continuation by the department and dean.

In April of each year, the AUL will be asked to supply the following:

  • For those individuals on the one or two year cycle for the upcoming fiscal year, a yes or no indication to extend the appointment for the upcoming fiscal year
  • For those individuals on the three year cycle, the AUL will provide sufficient information justifying the extension of an individual’s adjunct appointment.  That information will include a summary of the service the individual has provided to the unit for the past three years.  Examples of such service may include but would not be limited to: 
  • teaching a portion of a class
  • invited guest lecturer in classes and/or seminars
  • interact with graduate students and committees in accordance with the Graduate School policy (http://www.gradschool.psu.edu/faculty-and-staff/faculty/criteria/)
  • collaboration on research projects, grant-writing activities, research projects and publications. 
  • Following the dean’s review and approval of the recommendations for continuation, the AUL will be notified in writing and the appointment will be extended for another year.

Should the AUL find it necessary to terminate an adjunct appointment, notification should be provided to the Office of Human Resources, who will process the required forms through IBIS.
